Send Forms to a Group Trip

Send one form template across every sub-trip in a group trip, then track responses from a single table.

A group trip's Forms tab sends one template to travelers across every sub-trip at once, so you don't open each sub-trip in turn. The flow is the same as a single trip's, with a few additions built for scale: shortcuts for selecting everyone, follow-ups you can schedule up front, and a table that spans the whole group. You need at least one sub-trip before you can send a form here. With none, the Forms tab prompts you to create one first.

To send a form on one trip, or one sub-trip on its own, use Send Forms from a Trip. That article also covers what gets pre-filled for each traveler, which works the same way here.

Send a form to the group

Open the group trip, go to its Forms tab, and click Add Forms.

  1. Send form to: pick individual travelers from any sub-trip, or use All Primary Travelers or All Travelers to select everyone at once. A shortcut expands into the individual chips it represents rather than staying as a single tag, so you can fine-tune the selection afterward.

  2. Form template: search and select the template, same as on a single trip.

Click Next to open the Share form composer, with a separate email queued for each traveler you selected.

On a read-only trip, Add Forms is disabled. You need edit access on the group trip to send a form.

Review and send each email

Forms always go out separately, one personalized email per traveler, reviewed and sent one at a time. The "Send all together" batch option is locked off here, since it applies only to general group messages. The Send button shows your progress, for example "Send Email 1 of 6," and moves to the next traveler after each send.

Each email pre-fills the traveler's address, the form's title as the subject, and a card linking to that person's unique submission link. Apply a saved email template or edit the message as you like. The Insert form control shows the attached template as a locked card, since you already chose it in the Add Forms dialog.

Use Send later for a preset time or Custom time for an exact date and time.

Good to know: Check If client doesn't respond in [N] day(s) to schedule an automatic follow-up from a template of your choice, at a time you set. Useful across a large group, where chasing individually isn't practical.

Monitor responses across the group

The Forms tab table lists every submission sent across the group trip and its sub-trips together, with an extra Trip column showing which sub-trip each row belongs to.

  • Scope filter: narrow to All, the Group Trip only, or a single named sub-trip.

  • Search forms: filter by form or traveler name.

Rows behave as they do on a single trip: Pending until the traveler responds, then click the row or use its ⋯ menu to view the response or delete the submission. Both need edit access on the trip.
