Every trip has a Forms tab for sending form to that trip's travelers. Each person gets their own link, pre-filled with what you already know about them, and the tab tracks who has responded. Use it when the form belongs to a specific trip, rather than sharing a public link to anyone.
Sending one form across every sub-trip in a group trip works a little differently. See Send Forms to a Group Trip.
Attach a form to the trip
Open the trip, go to the Forms tab, and click Add Forms.
Send form to: select one or more travelers on the trip. Selected names appear as chips, collapsing into a "+N" pill when there isn't room for them all. Click the pill to expand it.
Form template: type at least two characters to search your templates by name, then select one.
Click Preview to open the form in a new tab as the first selected traveler will see it, or Next to continue. Next stays disabled until you've picked at least one traveler and a template.
On a read-only trip, Add Forms is disabled. You need edit access on the trip to send a form.
Send or schedule the email
Clicking Next opens the Share form composer, with a separate email queued for each traveler you selected. With more than one traveler selected, you review and send one personalized email at a time. The Send button shows your progress, for example "Send Email 1 of 3," and advances to the next traveler after each send.
From and To: your name and the traveler's email on file. Replies route to the trip's own notification address, so there's no Reply To field here.
Use Template: apply a saved email template. If you change the recipient afterward, TripLoft asks whether to re-apply the template with the new details or keep your edits.
Subject and Message: pre-filled with the form's title and a card linking to that traveler's unique form link. Edit freely, insert merge fields, or attach files.
Click Send, or use Send later for a preset time and Custom time to pick an exact date and time in your local timezone.
What gets pre-filled for the traveler
When a traveler opens their link, TripLoft fills in what it already holds from the trip: first name, last name, preferred name, email, and gender where it's on file. This is why matching the right traveler to the right template matters at the send step.
Track status on the Forms tab
Each submission you've sent appears as a row showing the form name, its status (Pending until the traveler responds), who filled it, and when it was created. Use Search forms above the table to filter by form or traveler name, and the pagination controls below it for longer lists.
View or delete a submission
Click a completed row, or open its ⋯ menu and choose View, to see the response in a side panel. View stays disabled while a submission is Pending, since there's nothing to show yet.
Choose Delete from the same menu to remove a submission. You'll be asked to confirm, and it can't be undone. Like Add Forms, Delete requires edit access on the trip.
Tracking responses across a template
A trip's Forms tab shows only the responses attached to that trip. To see how a particular form is performing everywhere it's been sent, open it from Templates > Forms and check its Submissions tab.
