Creating and Managing Forms

Create a form template and build it in the Form Builder with travel, contact, custom, and general elements.

Form templates are built in the Form Builder, where you set the title and description respondents see, drag in the elements you need, and arrange them. Everything here is reusable: a template you build once can be shared publicly or sent to travelers on any trip.

Create a form

Go to Templates > Forms and click + Create Forms Template. The form opens straight into the Form Builder.

TripLoft gives it a working name from your name and today's date, so a form John Doe starts on October 9 is named "John Doe 10/9". This name is internal, for finding the form in your templates list. Click the pencil icon next to it to rename it something you'll recognize later, example "Trip Enquiry Form - Cruise Leads"

Find your way around a form

Opening a form from Templates > Forms lands on its Overview tab rather than the builder. A form has four tabs:

Set the title and description

The Form Details section sits at the top of the builder. This title is the one your client sees when they open the form, separate from the internal name at the top of the page. The description sits below it, so use it to say why you're asking and what happens with the answers.

Good to know: The internal name and the form title are independent. A form named "Trip Enquiry Form - Cruise Leads" in your templates list can be titled "Let's Start Planning Your Cruise" for the client.

Add elements

The Form Elements panel on the left holds every building block, grouped into four categories. Drag an element from the panel into the form to add it.

Travel Information

  • Basic Trip Details

  • Trip Notes

Contact Information

  • Basic Details, Gender, Email, Phone, Address, Birthday

  • Passport, Secure Travel IDs

  • Activities & Interests, Travel Preferences

Custom Questions

  • Short Answer, Long Answer

  • Dropdown, Single Select Option, Multi Select Options

  • Rating, Date, File Upload

General Elements

  • Information, E-Signature, Terms & Conditions, Respondent Details

Arrange the form

The canvas is a live view of what respondents will complete. Drag elements to reorder them, remove what you don't need, and open any element to configure its settings or mark it required.

Good to know: There is no save button. Changes save as you make them, and the indicator in the top-right corner confirms the current status.

How contact fields repeat per traveler

Contact Information elements behave differently from everything else. The first one you add creates a Traveler Information container, and every contact field afterward goes inside it. The container is always first on the form and can't be moved. You can rearrange the contact fields within it.

When a respondent adds a second traveler, every field inside the container repeats for the new person. Everything outside it, custom questions, trip details, e-signatures, is asked once for the whole submission regardless of how many travelers there are.

This matters when you're deciding where a question goes. "Passport number" belongs inside Traveler Information, since each person has their own. "What's your budget?" belongs outside it, since asking every traveler would produce answers you don't want.
