Using Form Responses in Trips and Contacts

Understand what happens after a form is submitted and how TripLoft uses the information collected.

Once a respondent submits a form, TripLoft stores the response, tracks submission activity, and automatically updates or creates records based on the information provided.


Tracking Responses

The Responses column on the Forms page displays the total number of submissions received for each form.

As respondents complete and submit the form, the count increases automatically, making it easy to track form activity at a glance.


Viewing Responses

Every response submitted through a form is stored under the Submissions tab of that form.

To view responses:

  1. Open the form.

  2. Select Submissions from the left navigation menu.

The submissions list displays:

  • Respondent Name

  • Submission Date

  • Last Opened Date

  • Status (Completed or Pending)


Reviewing a Submission

Click any submission to open the response details panel.

The panel displays all information submitted through the form, including:

  • Traveler Details

  • Contact Information

  • Trip Information

  • Custom Question Responses

  • E-Signatures

This allows you to review exactly what the respondent submitted without leaving the form.


Submission Activity History

At the bottom of each submission is the Forms Submission Details section.

This activity log records key events related to the submission, such as:

  • Form Opened

  • Form Submitted

  • E-Signature Accepted

Each event includes a timestamp, IP address, and activity details, providing a complete audit trail of the submission.


Creating and Updating Contacts

When a form is submitted, TripLoft checks whether the respondent already exists in your CRM.

New Contact

If no matching contact is found, TripLoft automatically creates a new contact and assigns the Traveler contact type.

Information collected through the form is added to the contact record, including name, email address, phone number, address, birthday, passport information, preferences, and any other contact-related fields included in the form.

Existing Contact

If a matching contact already exists, TripLoft updates the existing contact record with any new or changed information submitted through the form.

This ensures contact records remain accurate and up to date without requiring manual data entry.

How Contact Matching Works

TripLoft identifies contacts using the following combination:

First Name + Last Name + Email Address

  • If all three values match an existing contact, the existing contact is updated.

  • If any of the three values differ, a new contact record is created.

This helps prevent duplicate records while ensuring existing information remains accurate.


Creating Trips from Form Submissions

When a Trip Form is submitted, TripLoft automatically creates a new trip linked to the respondent.

The trip is created in Draft status and populated with the trip information provided through the form, such as:

  • Trip Name

  • Travel Dates

  • Trip Duration

  • Destination Details

  • Travel Preferences

The trip can then be opened and developed just like any other trip in TripLoft.


Conclusion

Form submissions do more than collect information. TripLoft stores responses, tracks submission activity, creates or updates contact records, and can automatically generate draft trips from submitted trip requests. This helps keep your CRM and trip records accurate while reducing manual data entry.
