Create an Automation

Build an automation by choosing a trigger and adding the actions that run when it fires.

Automations allow your agency to automatically perform actions when specific events occur. Each automation consists of a trigger and one or more actions that execute when the trigger conditions are met.


Create a Trip Automation

Trip automations are used to automate actions related to trip activity, approvals, payments, and traveler interactions.

Create the Automation

  1. Navigate to Templates → Automations.

  2. Click Add.

  3. Enter an Automation Name.

  4. Select Trip as the automation type.

  5. Click Continue.

The Trigger Selection window opens.

Select a Trip Trigger

Choose the event that should start the automation. Available trip triggers include:

  • Trip Created

  • Trip Starts

  • Trip Ends

  • Trip Status Changes

  • Client Requests Trip Edits

  • Client Approves Trip

  • Client Authorizes Payments

  • Payment Due Date

Select the desired trigger and click Continue. The Automation Builder opens with the selected trigger displayed in the workflow.

Add an Action

  1. Click the + icon beneath the trigger.

  2. Select the action you want to add.

Available actions include:

  • Email

  • Task

The selected action is added to the workflow.

Configure the Action

Complete the action configuration and click Save. You may add multiple actions to the same automation by selecting the + icon below an existing action.

Activate the Automation

  1. Review the workflow.

  2. Toggle Status to Active.

  3. Click Close.

The automation is now active and will run whenever the selected trip trigger occurs.


Create a Contact Automation

Contact automations are used to automate communications and tasks related to traveler milestones and document expiration dates.

Create the Automation

  1. Navigate to Templates → Automations.

  2. Click Add.

  3. Enter an Automation Name.

  4. Select Contact as the automation type.

  5. Click Continue.

The Trigger Selection window opens.

Select a Contact Trigger

Choose the event that should start the automation. Available contact triggers include:

  • Birthday Date

  • Anniversary Date

  • Passport Expiration Date

Select the desired trigger and click Continue. The Automation Builder opens with the selected trigger displayed in the workflow.

Add an Action

  1. Click the + icon beneath the trigger.

  2. Select the action you want to add.

Available actions include:

  • Email

  • Task

The selected action is added to the workflow.

Configure the Action

Complete the action configuration and click Save. You may add additional actions to create multi-step workflows.

Example:

Passport Expiration Date → Send Reminder Email → Create Internal Follow-up Task

Activate the Automation

  1. Review the workflow.

  2. Toggle Status to Active.

  3. Click Close.

The automation is now active and will run whenever the selected contact trigger occurs.
