A recurring payment reminder keeps nudging a client to pay without you having to send each message by hand. It's a special step you add to an automation that uses the Payment Due Date trigger. Instead of a single email, it sends a reminder, waits, and sends again on a repeating schedule until the payment is settled.
What recurring reminders do
Once added, the reminder step runs a small loop: wait, remind, wait, remind, until full payment is authorized or the payment becomes overdue. You can see the loop and its end point on the builder canvas.
Add the Payment Reminders step
Recurring reminders are only available on automations with the Payment Due Date trigger. In the builder, click the + to add a step, then under Flows choose Payment reminders. Email and Task are also available here; SMS and AI call are marked coming soon.
When reminders start
Set how far ahead of the due date the first reminder goes out:
Days before due date: the default is 120. Clearing it or entering anything below 1 resets it to 120.
Time of day: the clock time the reminder sends, defaulting to 09:00.
Time zone: the zone that time is measured in, defaulting to your account's time zone.
How often they repeat
Under Repeat reminders every, choose the number of days between reminders. The default is 30, and clearing it or entering below 1 resets it. The automation keeps repeating on this interval until payment is fully authorized or becomes overdue.
What happens on each reminder
Under What should happen on each reminder? pick the action:
Send email: a payment reminder to the client. Use Edit email to set the subject, message, and content.
Create task: a follow-up task instead of, or as well as, an email. Use Edit task to add details.
Smart reminders
Turn on Enable smart reminder and the repeat interval resets each time the client authorizes a payment. So a client who has just paid doesn't get chased again a few days later, and reminders only go out when the pending amount has genuinely sat unauthorized for the interval you set.
When reminders stop
The loop ends on its own once full payment is authorized, shown as "When full payment is authorized" on the canvas. You never have to switch it off manually after a client pays.
Good to know
It's the final step. A payment reminder ends the automation, so you can't add steps after it.
Not for installments. Recurring reminders can't be set for installments. Set fixed reminders for each installment instead.
Approval and a due date are required. Reminders only run once the client has approved the trip and there's a payment due date. If either is missing, you'll see a warning in the editor. See Automation Warnings and Edge Cases.
