Create and Manage Workflows

Build a reusable workflow of tasks and automations, configure auto-apply and bulk apply, and manage workflows over time.

A workflow template combines task templates and automation templates into a single reusable process. Instead of manually applying multiple tasks and automations to every trip or contact, you configure them once inside a workflow and apply the entire package together.


Create a Workflow

  1. Navigate to Templates → Workflows.

  2. Click + Add.

  3. Enter a Workflow Name.

  4. Select the workflow type - Trip or Contact.

  5. Review the workflow type description.

  6. Click Continue.

The workflow builder opens.

Add Tasks

Tasks can be added by creating a new task template or selecting an existing template from the library.

Create a new task

  1. Click Add New Task Template.

  2. Enter a Task Name and select an Assigned To user.

  3. Set the scheduling: enter the number of days and choose a due date condition (such as Before Trip Starts, After Trip Starts, Before Trip Ends, After Trip Ends, or After Task Creation).

  4. Optionally enable Urgent, add a Description, and enable Email Notification.

  5. Click Done.

Add an existing task template

  1. Click Add From Template.

  2. Search for and select a task template.

Add Automations

Automations can be added by creating a new automation or selecting an existing automation template.

Create a new automation

  1. Click Add New Automation.

  2. Enter an Automation Name and select the Trip or Contact type.

  3. Click Continue.

  4. Select a trigger, configure the actions, then save and close.

Add an existing automation template

  1. Click Add From Template.

  2. Search for and select an automation template.

Add a Description

In the Settings section, enter a Description for the workflow using the rich text editor. You can format the content and insert links, images, or styled text to document what the workflow does.


Configure Auto-Apply

Auto-apply makes the workflow attach automatically when a chosen event occurs, so you don't have to apply it by hand.

In the Auto-Apply section, open the Select Trigger dropdown and choose a trigger:

  • Trip workflows: Trip Created, Trip Status Changed, or Trip Tag Added.

  • Contact workflows: Client Created or Contact Tag Added.

Then enable Enable Auto Apply to activate it. The workflow will now apply automatically to any record matching the trigger.

Bulk Apply

Bulk apply attaches the workflow to many existing records at once.

  1. Click Bulk Apply.

  2. Choose the target set:

    • Trip workflows: all trips, trips with a specific status, or trips with a specific tag.

    • Contact workflows: all contacts, or contacts with a specific tag.

  3. Review the confirmation message.

  4. Click Bulk Apply to confirm.

The workflow is applied to all matching records.

Save the Workflow

When you've added your tasks and automations and configured how the workflow applies, click Save & Close. The workflow is saved with all its configurations and appears in the Workflows list, ready to reuse.


Manage Workflows

From the Templates → Workflows page, you can review and maintain your workflows. The list shows each workflow's type, auto-apply status, last updated date, and creator, along with an actions menu for each. Open any workflow to edit its tasks, automations, description, or apply settings. Editing a workflow updates it for future applications.
