Group-Only Room and Cabin Controls

The four things Group Trips add to room and cabin options: availability deadlines, slot limits, inventory tracking, and the public signup wizard.

Converting rooms or cabins to options works the same way on any trip. See Set Up Rooms and Cabins for that, and Occupancy-Based Pricing for Rooms & Cabins for pricing by party size.

This article covers the four things a Group Trip adds on top, none of which exist on a regular trip: an availability deadline, a cap on how many can be booked, live inventory tracking, and the public signup wizard travelers book through.

All four require options mode. On a Group Trip where rooms or cabins are added directly, none of these fields appear.

Availability deadline and slots

Two extra fields appear on each room or cabin once the component is in options mode:

  • Available until date: the last date this room or cabin can be selected. Optional.

  • Limited availability and Number of available slots: turn the toggle on and enter a cap. Leave it off and the option has no limit, shown as No limit set wherever availability is tracked.

How inventory tracks bookings

Every option carries three numbers:

  • Quantity: the cap you set, or No limit set.

  • Booked: a live count of confirmed sub-trip bookings against that room or cabin. Always tracked, limited or not.

  • Available: Quantity minus Booked, floored at zero so it never reads negative. With no cap, this also reads No limit set rather than a blank, so it's never mistaken for "none left."

When Available reaches zero, travelers see the option marked Unavailable at signup and can't choose it. There's no separate step to withdraw it.

You don't edit quantity, rate, or availability from the inventory view. Those live on the room or cabin in the proposal, and the tracking view reads from there. For the trip-wide table with every option's rate, quantity, booked and available counts, plus the travelers behind each booking, see Manage Inventory.

Good to know: If you change a rate partway through, travelers who already booked keep the price they booked at and only new bookings pick up the new one. That's what the rate-changed indicator on the Manage Inventory page is flagging.

What the traveler sees at signup

On a Group Trip, options appear in the public signup wizard rather than the client portal, so a traveler who has never been added to the trip can book themselves in. Each room or cabin shows as a card with its occupancy badge, starting price, availability deadline, and an "Only N left" badge when slots are running low.

The traveler sets their party size first, then picks one room or cabin per selection group. Choosing a new one deselects the previous choice. See What Travelers See During Group Trip Signup.
