When you need to add many people at once, a bulk invite lets you upload a file and send invitations to everyone in it. This is the fastest way to bring on a large group, for example when moving agents over from another system. To invite a single person, see Invite Team Members.
Who can use bulk invite
Only host owners and host admins can send bulk invites. There are two starting points, and each uses a different file:
From Teams & Permissions (host level): adds host members (admins or direct agents) and new agency owners.
From inside an agency: adds agents into that one agency. (coming soon)
Preparing your file (host level)
Open Teams & Permissions and click Bulk invite. On the first step there's a Download template link ("Not sure how to format your file?"). Use it to get a correctly formatted file. Each row is one person, with these columns:
Email (required): the invitee's email address. Must be unique within the file and not already a member.
Entity (required): where the person belongs, either Host or Agency.
Role (required): under Host, use Admin or Agent; under Agency, use Owner. A host-level file can only create new agency owners, not agency admins or agents.
Step 1: Upload
Drag your file into the upload area or click to select it. You can upload a .csv or .xlsx file. Then click Next.
Step 2: Validation and review
TripLoft checks every row and shows the results in a table so you can fix problems before anything is sent. Each row carries a status:
Ready: valid and will be invited.
Needs entity: the entity is missing or not valid (for example, a value other than Host or Agency). Use the Mark as dropdown on the row to set Host or Agency. The row is not sent until you resolve it.
Re-invite?: the email was previously removed from the entity. The row shows Re-invite and Skip buttons, and is not sent until you choose one.
Skipped: the row will not be sent, with the reason in the Detail column.
Common reasons a row is skipped:
The email is already an active member of the entity.
The email already belongs to a different entity (a user can belong to only one entity).
The email appears earlier in the same file, so only the first occurrence is processed.
The row is an agency admin or agent in a host-level file. To add those, send the invite from within the agency.
The email is missing.
The commission rate is not a number from 0 to 100.
Rows that need attention are highlighted. You can export the flagged rows with Download Duplicate List. A counter shows how many rows will not be sent, and the send button shows how many valid invites will go out. When you've resolved what you can, click Next.
Step 3: Finalize
TripLoft sends the invitations and shows a confirmation with the number of people invited. Click Continue to close.
After the import
Everyone invited appears in the Members table with a Pending status until they accept and sign up. As with single invites, a bulk invite sets each person's role but not their data access; you set what shared data they can see from the permission grid once Team Mode is on.
