Invite Team Members

How host owners and admins invite one person at a time: choosing the entity and role, what the invitee receives, and resending a pending invite.

New people join your workspace by invitation. This article covers how to invite one person at a time, who can send invites, and what happens after an invite goes out. To invite many people at once, see Bulk Invite Team Members.

Who can invite

Only host owners and host admins can invite people, and every invite is sent with a defined role. No agency owner, agency admin, or agent can send invites. When an agency needs someone added, they request it from the host, and a host owner or admin sends the invite.


Sending an invite

From the Teams & Permissions page, click Invite to open the Invite team member dialog. You'll choose where the person goes and their role, then enter their email:

  1. Entity: choose where the person belongs, either the Host (your own workspace) or an Agency (a company under the host).

  2. Role: pick their role. The options change with the entity you chose:

    • Under the Host: Admin (full access at host level) or Agent (a direct agent selling under the host).

    • Under an Agency: Owner (sets up a new agency), Admin (full access within the agency), or Agent (access configured later through the permission grid).

  3. Agency: this field appears only when the entity is an agency and the role is Admin or Agent. Type at least three characters to search, then select the agency the person will join. (It does not appear for the Owner role, since an owner creates their agency during onboarding.)

  4. Email: enter the invitee's email address. This is the only detail you provide; the invitee fills in their own name and profile when they sign up.

  5. Click Send invite.


Inviting a new agency owner

To bring a new agency into your host, invite its owner: set the entity to Agency and the role to Owner, then enter their email. You don't create the agency yourself. When the owner accepts and onboards, they fill in their agency's details, and the agency is created along with their owner profile.


Inviting from inside an agency

You can also start an invite from an individual agency's page. Open the agency from the Agencies tab and click Invite. This opens the same dialog with the entity preset to that agency, so you don't pick or search for it. From here you can invite an Admin or an Agent for that agency only; the Owner option isn't offered, since the agency already exists.


What the invitee receives

The person gets an email with a link to join. When they click it, they sign up on TripLoft by entering their basic details, and their account is created with the role you assigned.


After you send

The invited person appears in the Members table with a Pending status and stays Pending until they accept and finish signing up, at which point they become Active.

To resend an invitation, open the row action (⋯) menu on that person's row in the Members table and choose Resend. Resending can be done by host owners and host admins, and also by the agency's own owner or admins for a Pending member of their agency, even though agency owners and admins cannot send the original invite.


Setting what they can access

An invite establishes the person's role, not their data access. New people start fully isolated, seeing only their own records. Once they've joined, you set what shared data they can see from the permission grid on the Members tab, and only when Team Mode is on.
