Add Insurance to a Trip

Offer travel insurance on a confirmed itinerary: complete trip and traveler details, add manual quotes with policies attached, and release the options to the client portal.

Once your client's itinerary is confirmed, the Insurance tab is where you offer travel insurance for the trip: confirm what's being insured, fix any missing trip or traveler details, add quotes for your client to choose from, and release the options to the client portal for their decision.

Insurance quotes are built on the approved itinerary's cost and travelers, so set up pricing first. See Configure Pricing for Proposal Components.


When the Insurance tab becomes available

The Insurance tab (under Finances) stays disabled until a proposal is approved as the Itinerary. This applies even if the trip has only one proposal: until it's approved, the tab can't be opened. Once an itinerary is confirmed, the tab unlocks and you can start adding quotes.

Review the Trip Details

The top of the tab summarizes what's being insured:

  • Trip Dates: the itinerary's dates

  • Trip Cost: the trip's total cost

  • Amount to Insure: defaults to the full trip cost. Click the edit icon to insure a different amount.

  • Deposit Date: editable

  • Destination: required for quotes. If the trip has no destination, the tab flags Missing Destination in red. Click it, pick the country from the Select your country dropdown (you can select more than one, for example France and Italy), and save.

Complete the Traveler Details

The Traveler Details section lists everyone on the trip, with the primary traveler tagged. Insurance quotes need each traveler's birthday and address, so a warning icon appears on any traveler whose profile is missing one; expand the card to see exactly what's missing (for example, Missing Birthday Date or Missing Address).

Click the red missing-info text to jump straight to that client's profile in Contacts. Fill in the missing field there, then click the back button at the top of the profile to return to the Insurance screen. Use Manage Travelers to change who's on the trip.

Manage Options

The Manage Options section is where the insurance choices live. Its header has:

  • A Ready for client review toggle: controls when the options are released to the client portal

  • Preview: see the options as your client will

  • Add Manual Quote: enter a quote you've obtained from an insurance provider

  • Get Quotes: not currently enabled, as no insurance supplier integrations are available

The two built-in decline options

Every trip's insurance options start with two standing choices, so the client's decision is always recorded even if it's a "no":

  • "No, I'm choosing not to insure my trip": the client acknowledges insurance was offered, declines coverage, and accepts responsibility for going uninsured.

  • "No, I'm buying insurance elsewhere": the client acknowledges the offer and confirms they're purchasing through another entity, understanding your agency can't support a third-party policy's claim.

Both acknowledgments name your agency, so whichever way the client goes, there's a documented response to the insurance offer.

Add a manual quote

Click Add Manual Quote. An Edit Insurance Option drawer opens from the right, the same pattern as editing any trip item, with two tabs: General for the quote itself and Attachments for related documents.

On the General tab, fill in:

  • Insurance Name: the option's display name (for example, "Insurance Option 1 - Fayes")

  • Select the supplier providing this policy: search and pick the insurance supplier

  • Supplier Policy: click Add Policy to attach the client-specific quote, by file upload (max 5MB) or URL, so the client can read the policy exactly as the insurance company provided it

  • Quote Number and Date Quote Created: from the provider's quote

  • Pricing details: total price (including taxes & fees), the taxes & fees portion, and currency

Below that, the drawer carries the same sections as other trip items: Credit Card Authorization & Payment (expected payments, Log Payment), Booking (Mark as Booked, the supplier you'll book through, Terms & Conditions, Cancellation Policy), Commission, and Confirmation Details. They work exactly as they do for proposal components, so see Payment Schedule & Authorization Requests for the details.

Use the Attachments tab for any documents related to the insurance. Click Save, and the quote appears as a card in Manage Options, showing its name, supplier, a Policy link, the price, and its payment status. Repeat Add Manual Quote to offer more quotes from different providers. Each quote card has a menu for managing it.

Release the options to your client

When the quotes are ready, use Preview to check what the client will see, then switch on Ready for client review to release the options to the client portal. A green Ready badge appears on each quote that's ready for the client, following the same readiness pattern as other trip items (see Payment Schedule & Authorization Requests). The client sees your quotes alongside the two decline choices and makes their pick.

Insurance also flows into the trip's finances the same way other options do: the insurance choices appear as an option row on the Bookings tab, and once the client selects a quote, its cost becomes a confirmed item on the Bookings tab and on the invoice.
