Create and Manage Email Templates

Build an email once, with variables, attachments, and forms, and reuse it whenever you send.

A template is a saved email you can pull into any message. Beyond the subject and body, it carries whatever you attach to it: files, a form, and your signature. Pick it from the Use Template dropdown when composing, and all of that comes with it.

Templates live under Templates > Email Templates. Click Add Template to build one.

What a template holds

  • Subject and body, written in the rich-text editor. This becomes the default message each time the template is used, and you can still edit it after inserting.

  • Variables, which fill themselves in from the trip or contact at send time.

  • Attachments, included automatically whenever the template is used.

  • A form, which the recipient can open and complete from the email.

  • Your email signature, applied automatically and visible in the preview.

Click Preview before saving to see it as the recipient will.

Variables

Variables are the reason a template stops being a canned email. Place the cursor where the information should go, click {x} in the toolbar, and pick one. TripLoft substitutes the real value when the email sends.

Available variables: Client First Name, Client Last Name, Agency Name, Trip Start Date, Trip End Date, Trip Link, Passport Expiration Date, Payment Due Date, Remaining Payment Amount.

So a template reading:

Hi {Client First Name}, your trip begins on {Trip Start Date}.

arrives as:

Hi John, your trip begins on September 21, 2026.

Managing your templates

Open any template to edit it. Changes apply to future emails only, so anything already sent is unaffected.

Archive moves a template to the Archived tab, where it stays searchable and available for reference. Use it to keep your active list short without losing anything.

Delete is permanent. Select one or more templates with their checkboxes and use the bulk action bar.
