Roles & Permissions

How TripLoft's host, agency, and agent roles work, what each can do, and how Team Mode and the permission grid control who sees which data.

TripLoft organizes your people into a clear hierarchy and uses a simple permission model to control what each person can see and do. This article explains how your team is structured, what each role can do, and how permissions and Team Mode decide who sees which data.


How your team is organized

TripLoft uses three tiers:

  • Host agency: the top level, your workspace (for example a host such as Northwind Travel Group). It holds the host owner, internal admins, any agents who sell directly under the host brand, and all of the agencies beneath it.

  • Agency: a company that sits under the host (for example Coastline Travel or Summit Voyages). Each agency belongs to exactly one host and has its own owner, admins, and agents.

  • Individual agent: the person doing the selling, either directly under the host or inside one of the agencies.

In this guide, an agent who works directly under the host rather than inside an agency is sometimes called a "direct agent." TripLoft shows both kinds with the same "Agent" label; the agency name on each member's row tells you which is which.

One person belongs to one place at a time. A user is either an agent directly under the host or an agent inside a single agency, never both and never in two agencies. To move someone, they are removed from one and invited to the other.


The roles

There are three roles. They behave slightly differently depending on whether they sit at the host level or inside an agency.

  • Owner: there is exactly one owner per entity (one host owner, and one owner per agency). The owner always has full, unrestricted access and can never be limited by the permission grid. The host owner manages billing and ownership for the whole workspace and can manage every agency and agent. An agency owner has full access to everything in their own agency, sets that agency's Team Mode, sets each agent's permissions, and can change member roles within the agency. The agency's commission split with the host is set by the host; the agency can view it but not change it.

  • Admin: admins help run things day to day. Host admins manage agencies and direct agents and have full access to agency data. Agency admins have full access to their own agency's data and can set agents' permissions and toggle the agency's Team Mode. Admins cannot manage billing or transfer ownership, an agency admin cannot change member roles, and an admin cannot change another admin's permissions (only the owner can).

  • Agent: an agent manages their own contacts, trips, and commissions, and sees shared data only when Team Mode is on and their permissions allow it. Agents do not have access to the admin tabs, settings, or billing, and they have view-only access to their agency's details. In the app, both direct agents and agents inside an agency show the same "Agent" label.

Where roles and permissions are managed

What you see depends on your role.

If you are a host owner or host admin, you manage everything from the Teams & Permissions section in the sidebar. It has two tabs: Agencies, a list of every agency under your host (click any row to open it), and Members, a single table of everyone across the host and all of its agencies. Opening an agency shows its own tabs: Overview, Agency Details, Waivers & Agreements, Members, Settings, and Activity log. The agency's Members tab holds the Team Mode toggle and the permission grid; its Settings tab holds the agency's commission split, status (suspend), and delete controls.

If you are an agency owner or agency admin, you do not have a Teams & Permissions item. You manage your own agency's people and permissions from the Members item in the sidebar, which opens the permission grid directly. You also have Overview and Settings, where the commission split is view-only (it is set by the host). An agency admin sees the same as the owner, except they cannot change roles.

If you are an agent, you do not see the admin tabs at all. You have your personal areas (My Account, Security, Email Signature, Messages) and view-only access to your agency's Agency Details, Waivers & Agreements, and Integrations.


Team Mode

Team Mode is the master switch that decides whether any data sharing happens within an entity. It exists at the host level (controlling direct agents) and at the agency level (controlling that agency's agents), and works the same way in both places.

When Team Mode is on, the permission grid is active and each person sees the data their grants allow. When it is off, everyone is fully isolated and sees only their own data. New agencies start with Team Mode off, and new people start fully isolated.

Turning Team Mode off does not erase anyone's permissions: the grid is simply ignored while it's off, and your previous setup returns exactly as it was when you turn it back on.

The permission grid

When Team Mode is on, each person's access is set across three groups, and each group can be set to Off, Read, or Full:

  • CRM data: contacts, trips, calendar, tasks, and workflows.

  • Templates: forms, task templates, automations, and email templates.

  • Commissions: commission data, reports, and financial statements.

The three access levels mean:

  • Off: the person sees only the records they created themselves.

  • Read: read-only access to everything in that group.

  • Full: read and write access to everything in that group.

An owner's row always shows Full and is locked, since owners can never be restricted.

What each role can see

Visibility flows up and down the hierarchy, never sideways:

  • Host owners and admins: see everything across the host and every agency beneath it.

  • Agency owners and admins: see everything within their own agency.

  • Agents: see only their own records, plus anything Team Mode grants them.

Agencies cannot see one another, and agents cannot see each other unless they are in the same agency with Team Mode on and grants that allow it.


Who can change roles and permissions

  • Host owner: unrestricted. Can change roles, toggle the host's Team Mode, set permissions, and invite or remove people. The host owner is also the only person who can change a host admin's permissions.

  • Host admin: can manage agencies and direct agents, toggle the host's Team Mode, set agents' permissions, change agency members' roles, and invite or remove people. Cannot manage billing, transfer ownership, or change another host admin's permissions.

  • Agency owner: full control within their own agency, including setting the agency's Team Mode, setting each agent's permissions, and changing member roles. Adding or removing people is handled by the host.

  • Agency admin: can set agents' permissions and toggle the agency's Team Mode, but cannot change member roles or another admin's access.

  • Agent: does not configure anything; an agent is the subject of the access set above them.

Only host owners and host admins can invite or remove people. When an agency needs to add or remove someone, they request it from the host. See Invite Team Members and Bulk Invite Team Members.
