Smart Import lets you turn an itinerary PDF into a fully structured TripLoft proposal in just a few steps. Upload an itinerary, review the parsed details, and convert flights, hotels, transfers, and activities into editable trip components inside your proposal. Instead of rebuilding a trip manually, Smart Import gives you a ready-to-customize proposal that's professional and client-ready.
What Smart Import does
When you upload an itinerary PDF, TripLoft automatically:
Parses (extracts) the itinerary content
Identifies key trip components such as flights, lodging, transfers, and activities
Maps each item to the correct day in your proposal
Pre-fills dates, descriptions, and details where available
You stay in control: nothing is added to your proposal until you review it and click Add to Proposal.
Smart Import supports PDF files only, up to a maximum size of 5MB.
How Smart Import works
Step 1: Upload your itinerary PDF
From within a proposal, open the Add Items panel on the left and click Smart Import (near the bottom, below the trip components).
In the Smart Import window, drag and drop your itinerary PDF into the upload area, or click to browse for it.
TripLoft begins processing the file. You'll see a brief "Hang tight, we've got this" message while it parses the content. You can click Cancel to stop the import at this stage.

Step 2: Review the parsed trip details
Once the PDF is processed, a Smart Import panel opens from the right showing a preview of every component TripLoft extracted, grouped by date. Each row shows the component type icon, its name, and its location.
From this preview you can:
Select what to import: every item is checked by default. Uncheck any item you don't want, or use the Unselect All toggle at the bottom left to clear them all at once (it switches to Select All so you can re-check them)
Expand an item: click the chevron on a row to view its parsed details. This is a read-only view; you'll edit the actual details after importing
Adjust dates: click any date pill to open a calendar and pick a new date (more on how this works below)

How date editing works
Components in the preview are grouped under date pills. Editing a date does not move just that one group: it shifts every date relative to the change, keeping the gaps between days intact.
For example, if the imported items fall on April 23, April 27, and April 28, and you change the first pill from April 23 to June 26, the others shift by the same amount: April 27 becomes June 30, and April 28 becomes July 1. The spacing between the days is preserved.
If imported items fall outside your proposal's current date range, TripLoft automatically extends the proposal so each item lands on its corresponding date. No items are dropped.

Step 3: Add items to your proposal
When the selection and dates look right, click + Add to Proposal at the bottom right.
Before you do, decide how the imported items should combine with what's already in the proposal:
Leave "Replace existing components" unchecked (the default) to add the imported items alongside any components you've already built
Check "Replace existing components" if you'd prefer the imported items to take the place of the current components (this clears the existing ones first)
Each component is added as a native TripLoft trip item: fully editable, reorderable, and customizable. After importing, you can:
Adjust pricing (imported items come in at $0.00)
Assign rooms or cabins
Add options or upgrades
Reorder sections and components
Customize the proposal layout and visuals
Add more components on top of the imported itinerary
Good to know
Pricing is not imported: every component comes in at $0.00. Set pricing yourself on each component's Pricing & Booking tab after import - see Configure Pricing for Proposal Components
All trip travelers are assigned: imported components are assigned to every traveler on the trip by default, the same as a component you add manually. Adjust assignments on each component if needed
Media is not imported: Smart Import builds each component from the text in your PDF. It does not pull in photos or property details, so add media yourself where you want it

Review every imported item, and its date, before adding it to the proposal
