Managing Contact Information

View and edit all profile sections for a contact, from personal details and travel documents to preferences, relationships, tags, and more.

Once a contact is created, the Contact Profile becomes the central record for their personal information, travel-ready details, relationships, and related workspaces such as trips, tasks, forms, and activity history.


The Profile Page

Opening any contact takes you to their profile.

The page is organized into three main areas:

  • Contact Header - Displays the contact's name, primary phone number, email address, and Client Portal status.

  • Profile Sections - Stores all personal, travel, and relationship information.

  • Top Navigation Tabs - Provides access to related workspaces such as Trips, Attachments, Tasks, Forms, Notes, and Activity Logs.

The Client Portal badge in the header indicates whether portal access is currently active or inactive for the contact.

Tip: Click the pencil icon on any section card to edit information.


Profile Sections

The Profile tab organizes contact information into several sections, making it easy to manage personal details, travel information, preferences, and relationships from a single place.


Personal Information

Personal Information - Stores the contact's core identity and communication details.

Basic Info

Includes:

  • Full Name

  • Nick Name

  • Gender

  • Contact Type

  • Date of Birth

  • Anniversary Date

Address

Stores the contact's mailing address.

If no address has been added, the section displays No address on file. Use the edit icon to add or update address information.

Contact Details

Stores phone numbers and email addresses associated with the contact.

Multiple phone numbers and email addresses can be added, each with its own type, such as Mobile, Personal, or Work. One contact method can be marked as the default.

Click + to add a new contact method. Use the action menu on any row to edit or remove an entry.

Note: The default contact method is displayed in contact lists and may be used by automations when sending communications.

Relationships

Create relationships between contacts such as spouses, partners, parents, children, and siblings.

To create a relationship:

  1. Click + Add Relationship.

  2. Select a contact.

  3. Choose a relationship type (e.g., Parent, Child, Sibling, Spouse, Relative etc.)

  4. Save the relationship.

Relationships help support family travel planning and provide additional traveler context.

Relationships sync both ways. When you add a relationship on one profile, TripLoft automatically records the reverse on the other contact's profile. For example, add Jane as John's parent on John's profile, and John appears on Jane's profile as her child, so you never have to record the same relationship twice.


Travel Information

Travel Information - Stores information used for trip planning, bookings, and traveler preferences.

Passport Details

Stores passport and travel document information, including:

  • Passport Number

  • Given Name and Surname

  • Nationality

  • Place of Birth

  • Issuing Authority

  • Date of Issue

  • Date of Expiration

Expired or soon-to-expire passports are highlighted for visibility.

Add Passport Details Using an Image

Instead of entering passport information manually, you can upload a passport image and let Triploft AI extract the details for you.

  1. Upload a clear image of the passport.

  2. Click Parse & Autofill.

  3. Review the extracted information.

  4. Make any necessary edits.

  5. Click Save.

This helps reduce manual entry and improves data accuracy.

Dietary and Medical

Stores travel-related health and dietary information, including:

  • Allergies

  • Dietary Preferences

  • Mobility Restrictions

Preferences

Stores travel preferences used to personalize itineraries and recommendations.

Examples include:

  • Activities and Interests

  • Flight Seating Preferences

  • Bulkhead Preferences

  • Floor Preferences

  • Elevator Preferences

  • Cruise Cabin Preferences

Secure Travel IDs

Stores trusted traveler information such as:

  • Redress Number

  • Known Traveler Number / PASS ID

  • Expiration Dates

Programs

Track loyalty and membership programs associated with a contact.

To add a program:

  1. Click + Add Program.

  2. Select a program type.

  3. Search for and select the desired program.

  4. Save the program.

Examples include airline loyalty programs, hotel loyalty programs, and membership programs.


Additional Information

Social Links

Store links to the contact's social media profiles.

Use the edit icon to add or update profile links.

Tags

Apply tags to organize, segment, and filter contacts across your database. Multiple tags can be assigned to a single contact.


Additional Workspaces

Beyond the Profile tab, each contact includes several additional workspaces accessible from the top navigation.

Trips

View all trips associated with the contact, including trip status, duration, advisor, and last updated date.

You can also create a new trip directly from this tab.

Attachments

Upload and manage files associated with the contact, such as passports, visas, signed agreements, and other documents.

Tasks and Automations

View tasks associated with the contact and review automations that have been triggered for them.

Forms

View all forms submitted by the contact, including associated trips and submission dates.

Notes

Store internal notes that are visible only within your workspace.

The Contact Profile serves as the central record for every traveler, client, supplier, and partner in Triploft. Keeping profile information up to date helps ensure accurate records, personalized trip planning, and better visibility across your workspace.
